BALDWIN HOUSE GUEST HOUSE – BOOKING  TERMS (Summarised)

These Booking Terms are a summary of our full Terms and Conditions that apply to all reservations and bookings made with BALDWIN HOUSE GUEST HOUSE. A copy of our full terms and conditions are available upon request.

BOOKING CONFIRMATION:

All bookings will only become a valid guest reservation “Reservation” once BALDWIN HOUSE GUEST HOUSE issue a valid booking confirmation number or Reservation Confirmation to the Guest. Once a valid booking confirmation number has been issued, our Guest Terms & Conditions become applicable to the booking.

Bookings will be retained by BALDWIN HOUSE GUEST HOUSE

CHECK-IN/CHECK-OUT:

Guest may check in from 14:00 on the day of arrival.  Check out time is 10.30am on the day of departure, unless agreed with BALDWIN HOUSE GUEST HOUSE prior to the date of Check-in.

At the time of CHECK-IN, Guests are required to:

 

  1. Provide their address and contact details and sign a Guest Registration Form
    1. Foreign nationals must produce a valid passport at Check-in, Baldwin House Guest House will take a copy of this  document for Guest registration purposes
  2. Pay the outstanding balance of their reservation in full

BALDWIN HOUSE GUEST HOUSE will provide the following at the time of Check-in:

  1. Contact details for the Guest to contact a representative of BALDWIN HOUSE GUEST HOUSE at any time during their stay.

PLEASE NOTE: This will be a mobile telephone number. Guests must make contact with BALDWIN HOUSE GUEST HOUSE via telephone call to this number only. No SMS/Text messages will be responded to by BALDWIN HOUSE GUEST HOUSE.

Overnight, BALDWIN HOUSE GUEST HOUSE does not respond to the front door bells or service bells. The only valid form of contact is via telephone call to the mobile number provided to Guests at the time of check-in.

  1. Access codes for BALDWIN HOUSE GUEST HOUSE free wi-fi internet access
  2. Familiarization of BALDWIN HOUSE, main entrances/exits and the location of key facilities, such as the Breakfast/Dining Room and Guest Lounge.
  3. Access keys and devices to allow the Guest 24hour access to BALDWIN HOUSE and their Guest bedroom for the duration of their stay.

PLEASE PAY PARTICULAR ATTENTION TO THESE INSTRUCTIONS: BALDWIN HOUSE GUEST HOUSE operates electronic door locks on the main access doors to the Guest House. These operate only if the following simple instructions are followed precisely:

  1. Pull (the closed door towards you, and hold in the frame
  2. Activate the electronic door lock with your fob/room fob (System “Beeps”)
  3. PUSH the door open

 

**PLEASE ENSURE THAT ALL MAIN ACCESS DOORS ARE FULLY CLOSED BEHIND YOU FOR EVERYONE’S SECURITY

Overnight, BALDWIN HOUSE GUEST HOUSE does not respond to the front door bells or service bells. The only valid form of contact is via telephone call to the mobile number provided to Guests at the time of check-in.

  1. Upon completion of the above Check-in procedure, all Guests will be shown to their Guest Bedrooms by a representative of BALDWIN HOUSE GUEST HOUSE

RESERVATION/BOOKING TERMS:

Reservations/bookings cannot be applied to alternative dates, nor extended or reduced without the prior agreement of BALDWIN HOUSE GUEST HOUSE.  Room type, facilities and board basis are specified in the Reservation confirmation that is supplied to the Guest at the time of booking.

Guest reservations will be retained by Baldwin House Guest House until 7pm on the arrival date and may be cancelled thereafter by Baldwin House Guest House without further liability on Baldwin House Guest House’s part unless Baldwin House Guest House has agreed otherwise in writing or where Baldwin House Guest House has issued a Reservation authorisation number for late arrival or where Baldwin House Guest House has received advanced payment of the full amount chargeable for the entire Reservation in advance.

GUEST CONDUCT:

Drunk, disorderly, abusive, aggressive, impolite or dangerous behaviour towards other guests, Baldwin House Guest House staff or contractors will not be tolerated. Any Guest breaching these terms will be asked to leave the premises immediately.

CANCELLATIONS

All booking cancellations or modifications must be notified directly to BALDWIN HOUSE GUEST HOUSE.

There is no charge for booking cancellations made upto 48hours prior to the date of arrival. Cancellations made within 48hours of the date of arrival and also for “no shows”, then a charge equal to the first night’s accommodation charges will be made.

Upon cancelation of any booking,  deposits paid in advance by the Guest are refundable

CHARGES

Payment is required in advance or upon check-in for the estimated charges for the number of room nights and number of breakfasts.  Baldwin House Guest House reserves the right to refuse entry to the Guest until such pre-payment is received. Should the pre-payment exceed the total charges, Baldwin House Guest House will refund the balance to the Guest on departure, using the same payment method.

CONDITIONS ON WHICH A GUEST MAY OCCUPY A ROOM

Subject to these Guest Terms, the Guests shall occupy the room as bare licensee only and no relationship of landlord and tenant shall be created by the Guest’s use of the room. Baldwin House Guest House retains control, possession and management of the room and the Guest agrees that s/he shall not have exclusive possession of any room. Baldwin House Guest House may in its absolute discretion move the Guest and/or allow guest house employees access to service, repair, tidy and clean the room from time to time and on a daily basis.

It is a condition precedent that the Guest may only occupy the room following check-in where s/he has: (i) completed and signed the Guest Registration Card; (ii) provided identification; and (iii) provided advanced payment.  Only those Guests to whom a room is allocated may occupy the room.  Guests are not permitted to resell or transfer their booking.  Baldwin House Guest House will use reasonable endeavours to ensure a room is available for occupation by the Guest at the stated check in time.

FOOD SERVICE: Allergens and food preferences

Food served at Baldwin House Guest House is prepared in a restaurant and not a factory setting. Whilst every attempt is made to ensure that Guests are fully informed as to the ingredients that dishes contain, Baldwin House Guest House are unable to guarantee that food will be free from specific allergens and as such any food served by Baldwin House Guest House is consumed at the Guest’s own risk.

Guests are encouraged to advise BALDWIN HOUSE GUEST HOUSE of any food preferences including vegetarian, gluten-free, wheat-free etc. BALDWIN HOUSE GUEST HOUSE will use its best endeavours to accommodate all such requests.

NO SMOKING POLICY

Smoking is not permitted in any part of BALDWIN HOUSE GUEST HOUSE, including all Guest bedrooms. Smoking is permitted at the front of the property and also in our gardens which are accessible to Guests during their stay.

A £250 fee shall be charged for smoking in guest rooms

DATA PROTECTION

The information provided to Baldwin House Guest House by the Guest during booking and in the Reservation confirmation will be handled by the guest house as data controller in accordance with applicable data protection requirements.  The information may be used by Baldwin House Guest House for internal reporting purposes, and for other business-related purposes permitted and/or required under applicable law. 

Except as set out above, Baldwin House Guest House will not use Guest information given for any other purpose unless the Guest agrees or unless Baldwin House Guest House is required or permitted to do so by law.  By agreeing to the Guest Terms you are signifying your consent (and that of others detailed within your Reservation) to your personal data being processed in accordance with the above statement.

GENERAL DATA PROTECTION REGULATION (GDPR)

Baldwin House Guest House collects specific information from our Guests during the booking and registration process. Baldwin House Guest House also collects information from the intelligent door locks fitted to the front doors of the property. and the CCTV system in operation within the property. Baldwin House Guest House complies with GDPR requirements. A copy of our data handling policies and procedures is contained within our privacy policy which is available upon request.

GENERAL

Baldwin House Guest House accepts all credit and debit cards. All such credit cards are accepted in accordance with the regulations of the credit card company concerned. All card payments must be completed using Chip & Pin, Baldwin House Guest House do not accept signatures as a valid form to complete card payments.

The only other acceptable form of payment is cash, Baldwin House Guest House do not accept personal or company cheques unless prior agreement is given.
